Privacy Policy
This policy explains what data VietOwl collects, why we use it, and the choices you have when using our online learning platform.

1. Scope
This policy applies to the VietOwl.org website, user accounts, online classes and related features provided by VietOwl. By using the service, you confirm that you have read and understood this policy.
2. Data we collect
- Account information: full name or display name, email address, profile photo, account identifier and your role as a student, tutor or administrator.
- Data from Google: when you choose to sign in with Google, VietOwl only receives the basic profile information you allow, usually your account ID, name, email and profile photo. We do not request access to your Gmail, Google Drive or contacts.
- Learning data: classes, schedules, answers, scores, progress, question feedback and interactions on the class board.
- Online class data: participant names, connection status and microphone, camera or screen-sharing streams when you turn them on and grant permission on your device.
- Technical data: IP address, browser type, device, access times, error logs and data needed to keep you signed in, secure the service and operate it.
- Messages: the content of messages you send and receive through VietOwl messaging, with the sender, recipient, time sent and read status.
3. How we use data
- Authenticate your account, grant the right permissions and display your profile.
- Organize classes, connect students with tutors and save learning progress.
- Provide real-time audio, video, the class board and collaboration.
- Deliver messages between students and tutors and, in limited cases, review reported conversations as described in the Messages section.
- Support users, fix errors, prevent fraud and protect the system.
- Analyze operational performance to improve service quality.
- Meet legal obligations or resolve disputes when necessary.
VietOwl does not sell personal data and does not use your Google account data for personalized advertising.
4. Sharing and processing data
We only share data as needed with tutors, students or managers of the same class; with providers of authentication, storage, database and real-time communication infrastructure; or when lawfully required by competent authorities.
Processors acting on behalf of VietOwl may only access the information needed for their services and must apply appropriate safeguards. We do not allow them to sell the data or use it for their own advertising.
5. International transfers
VietOwl serves users in several countries. Your data is stored and processed on servers operated by our infrastructure providers, which may be located in the United States or other countries outside your own, where privacy laws may differ. We rely on contractual safeguards with our providers to protect data wherever it is processed, and by using the service you consent to this transfer.
6. Camera, microphone and screen sharing
VietOwl only accesses your camera, microphone or screen after you turn the feature on and your browser or operating system has asked for permission. You can turn off each device, stop sharing or revoke permissions in your browser settings at any time.
If a session includes audio or video recording, VietOwl will give appropriate notice beforehand and handle the recording for the stated purpose.
7. Messages
When you use messaging, we process the content of messages you send and receive, together with the sender, recipient, time sent and read status. We use this data to deliver messages, show conversations and unread counts, and keep messaging safe.
Message content is encrypted with AES-256 before it is stored, using keys kept separately from the database. Real-time notifications about new messages do not contain message content.
VietOwl staff do not routinely read messages. A specific conversation may be reviewed only to investigate a report or dispute, enforce our Terms of Service, protect user safety (especially minors), prevent fraud or abuse, or comply with a legal obligation. Review is limited to designated personnel, uses a separate review key, and every review is logged with its reason.
Messages are kept while your account is active. After an account is deleted, its messages are deleted within 30 days, unless we need to keep specific conversations longer to resolve an open dispute or meet a legal obligation.
8. Cookies and on-device storage
The service may use cookies and browser storage to keep you signed in, remember preferences, sync your session and protect your account. Blocking these essential mechanisms may cause some features to stop working correctly.
9. Retention and security
Data is kept for as long as needed to provide the service, meet legal obligations, protect the system or resolve disputes. When no longer needed, data is deleted, anonymized or separated from your account through an appropriate process.
We apply reasonable technical and organizational measures to limit unauthorized access, loss or misuse of data. However, no method of online transmission or storage is completely secure.
10. Your rights and choices
Depending on applicable law, you may request to access, correct, update or delete your personal data; object to or restrict certain processing; and withdraw permissions you have granted. Withdrawing permission does not affect the lawfulness of processing carried out before.
For accounts of minor students, a parent or guardian may submit requests on the student’s behalf after VietOwl verifies the relationship and the necessary identity.
11. Your rights in the United States and California
Residents of California and certain other U.S. states have the right to know what personal information we collect and how it is used, to request access to or deletion of it, to correct it, and to not be discriminated against for exercising these rights. VietOwl does not sell personal information and does not share it for cross-context behavioral advertising.
To exercise these rights, contact us via our official Fanpage from the email linked to your account. We may ask for information to verify your identity before acting on a request, and you may designate an authorized agent to act on your behalf.
12. Children's privacy
VietOwl is an educational platform that may be used by students under 18 under the guidance of a parent, guardian, school or tutor. Adults are responsible for providing only necessary information and guiding students to protect their accounts, images and personal information in class.
VietOwl is not directed to children under 13. We do not knowingly collect personal information from a child under 13 without verifiable consent from a parent or guardian, as required by the U.S. Children's Online Privacy Protection Act (COPPA). Student accounts for children under 13 must be registered and managed by a parent or guardian. If you believe a child has provided us information without such consent, contact us and we will delete it.
13. Changes and contact
We may update this policy when the service or legal requirements change. The latest update date is always shown at the top of the page. Significant changes will be announced in an appropriate way.
